Please find the enclosed details of the above elections and the timetable.

I am required to give advance notice of the Conditions of Service in respect of the Deputy General Secretary Election. Please find enclosed a summary of the Conditions of Service, Remuneration and Job Description as it will apply, together with the forthcoming election timetable. 

Branches are reminded the Deputy General Secretary is a member of the National Executive Committee and is the subject of election in accordance with the statutory requirements.

Thus, as with the General Secretary's post, the post holder is both elected and an employee of the Union.

Listed below is the timetable and procedure for the forthcoming elections for the Deputy General Secretary, National Vice Chair and the National Executive Committee x 4.

All positions will take up post after Annual Conference May 2023 until Annual Conference May 2028.

SECRET POSTAL BALLOTS: PROCEDURE RULE 11.2

Branch Committee members should:

  1. hold a branch meeting to discuss the election or circulate requests for nominations to members via email. No branch meetings, for nomination purposes, should be convened or requests circulated until close of nominations, as stated in the officially published timetable.
  2. read out or circulate via email all requests for nominations and nominate a candidate for the vacant position or inform the General Secretary that the branch failed to nominate any candidate; and
  3. encourage members to vote.

ELECTION ADDRESSES

It is suggested that the following information will assist consistency of the ballot procedures and should be forwarded to the General Secretary at Cronin House by 12.00noon on Monday 17th October 2022

  1. Date joined POA
  2. Previous establishment/s
  3. POA Experience (i.e. Branch Chair/Secretary/Committee/length of time in post/NEC).
  4. Two photographs
  5. Election Addresses should either be typed and emailed to the General Secretary’s Office at the following email address - nicola@poauk.org.uk Those candidates who are unable to type their election address or email can prepare their election address in writing and send it by post to the General Secretary’s Office at Cronin House.  It would be helpful if any election address sent by post is sent by recorded delivery.

It would also be helpful for candidates to provide contact numbers with their election addresses.

Candidates are reminded that election addresses must be limited to 500 words. This does not include Nominating Branches and Service History.

Any election addresses over 500 words will be edited.

UP-TO-DATE MEMBERSHIP RECORDS 

As you know all national elections are conducted under postal ballot rules and procedures. 

It is vital that local officials ensure their membership list is updated and any amendments are reported to the membership department by 12 noon on the 17th October 2022 at the very latest.  An up-to-date membership list is attached for your convenience.

Members have the right to receive their ballot papers at home or their place of work.  It is the responsibility of all members to provide an address for postal ballots.  If members wish to amend their ballot address for this and future postal ballots, this again should be done by the 20th October 2022.

Please draw the contents of this Circular to all members as a matter of urgency.
