d)    Notices advertising the election.

a)    Revised Ballot Guidelines for Branch Officials

A list of instructions is attached at Annex ‘A’. It is imperative, that arrangements locally reflect these and that all committee members are advised accordingly.

Arrangements are being made for Governors to be advised via Prison Service Headquarters and the Northern Ireland Office.  Local arrangements need to be made by branch officials in Special Hospitals and Isle of Man, in order to ensure that management is aware of the position.

b)    Position of members failing to provide an approved address

With the co-operation of branch officials a major exercise has been undertaken, in order for our Membership Register to comply with the statutory position.

We will continue to update the membership data file, with the approved address, as confirmed by individual members returning the pro-forma information to Cronin House, up until MONDAY, 5TH JULY 2010. Any return arriving after that date will result in the member not having the opportunity to vote in this election.

c)    Opportunities to obtain ballot papers

During the course of the balloting period, members who comply with the instructions in the preceding paragraph will receive a ballot paper.

In addition, a pro-forma is attached at Annex ‘B’ for those members who have NOT advised Cronin House in writing as per previous instructions.

Members who complete this pro-forma should notify Electoral Reform Services (ERS) by FAX using the numbers indicated, or by phone, in the event of any query.

Members who complete these and fax a copy to ERS by MONDAY, 5TH JULY 2010 will receive a ballot paper.  Tel: 020 8889 9203 Fax: 020 8365 7013.

d)    Notices advertising the election

Notices confirming the arrangements outlined in this Circular are enclosed.

e)    Period of Office for the successful candidate

The period of office for this position will be from the 13th July 2010 until the end of Annual Conference May 2013.

Ballot Papers will have been dispatched by MONDAY, 21ST JUNE 2010.  These will be addressed to individual members at their approved ballot address.

If Ballot Papers have not been distributed locally by MONDAY, 5TH JULY 2010, Cronin House should be advised immediately.

Please ensure the contents of this Circular are brought to the attention of all members.

Yours sincerely
